How to get enrolled

at SRH University Heidelberg

Step by Step to Enrolment

To help you settle down in Germany in the most comfortable way possible, we have listed below the important steps you need to follow before starting your studies with us. At the end of each step, you will find an explanation video of the topic by our International Office team. If you have any difficulties, please ask for support in the official SRH WhatsApp Group or from the International Office directly.

STEP 1

Get Health Insurance before arrival

To study in Germany, you are required to have health insurance. You will need to submit proof of health insurance when you enrol at the university as well as when you apply for a residence permit. Make sure to take care of your health insurance before you come to Germany.

Anyone who wants to enrol at a German university must have health insurance

Depending on the country you come from, your health insurance may also be valid in Germany. This is the case if you have a public health insurance plan from one of the following countries: member states of the European Union, Bosnia-Herzegovina, Iceland, Liechtenstein, Morocco, Macedonia, Montenegro, Norway, Switzerland, Serbia, Tunisia, Turkey. You should inquire about the details with your health insurance provider before leaving home.

If your health insurance policy from your home country is recognised in Germany, then you will need a confirmation that you are exempted from a German health insurance. We cannot enrol you at SRH University Heidelberg without this confirmation.

In this case, before you arrive in Germany, please contact a German health insurance provider and have them issue you an exemption letter. This German provider should send the electronic waiver (so called ESMV “10er Meldung”) to the university on time to complete your enrolment process. Make sure to complete this process well in advance before coming to Germany in order to be enrolled on time.

Among others, we are in collaboration with the statutory health insurance AOK (one of the biggest statutory insurances in Germany). You can contact the AOK expert Markus Ertelt (markus.ertelt@bw.aok.de).

Of course, it is up to you to decide which provider to take and to contact any other statutory or private health insurance of your choice (TK, DAK, Barmer etc.).

If your health insurance policy from your home country is not recognised, you will have to sign up for coverage in Germany. A public health insurance for students costs about 120 € per month. If you are over 30 years old, you will have to opt for a private health insurance and the costs might differ.

The money will be deducted monthly from your German bank account once you reach Germany. These student health insurances guarantee you a full coverage during your stay.

In order to enrol you at SRH University Heidelberg, we will need an electronic notification from your health insurance provider (so called ESMV “10er Meldung”). Make sure to complete this process well in advance before coming to Germany in order to be enrolled on time.

Step 2

Digital enrolment, campus Wi-Fi, SMARTCARD (student ID card)

Digital enrolment

To facilitate the start of your studies, we can enrol you digitally before your arrival in Germany. Please upload the following documents to your application platform:

  • Copy of passport
  • Copy of visa (if applicable) OR proof that your visa application is currently in process (e.g. confirmation of your visa appointment date which lies in the past)
  • Bachelor degree certificate (if applicable) or provisional degree certificate OR at least passing certificate
  • Signed study contract

Furthermore, we need an electronic notification from a German statutory health insurance (so called ESMV “10er Meldung”) - see STEP 1.

Once we have received all the documents, we can enrol you digitally. This will give you access to your online student portal Campus-Net and to your enrolment certificate.

Note: we are aware that the visa application process may take time. You can be digitally enrolled until the start of the semester.

Please upload all your enrolment documents at the soonest to ensure that you can attend the Welcome Days and start your studies on the first day of the semester. Once you arrive on campus, you will be required to enrol in person and show your original documents to the Central Student Services. 

CAMPUS-NET & Wi-Fi

About 24 hours after enrolment, you will receive a “matriculation email” with a password to use for Campus-Net.

Campus-Net is your online student portal allowing you to see your time schedule, your grades and to downland your enrolment certificate. When logging in for the first time, you will be asked to change your password immediately.  

Information about logging onto the campus Wi-Fi will be given once you arrive in Heidelberg. 

SMARTCARD (student ID)

In the “matriculation email” you will also receive instructions on how to upload a picture for your SMARTCARD (student ID card). Once you have uploaded your picture, the SMARTCARD will be issued and ready for your arrival.

Step 3

Public transportation in Heidelberg and in the region

Germany has a very good public transportation system. As a student, you may qualify for a specific ticket allowing you to travel at a cheaper price with all buses, tramways and regional trains.

For the summer semester 2023, you have several options. 

These 2 tickets mentioned below are only valid for regional transportation and do not include long-distance trains (e.g. ICE, IC, EC). They are personal and non-transferable tickets.

S-Bahn_Rhein-Neckar

With the Baden-Württemberg Ticket, you can travel by bus, tramway and regional train in whole Baden-Württemberg, which is the federal state we are located in. You can purchase this ticket for 6 months (182,50€) or 1 year (365€). The JugendticketBW is available from the 1st March 2023 and is reserved for students up to 27 years old.

You can purchase this ticket at the main train station or directly on campus at the Smart-Card Office located in Maria-Probst-Str. 3.

From Dec 1st 2023 students who are younger than 27 years can purchase the “Deutschland Ticket JugendBW”.

This will allow you to travel across Germany for 365 Euros/per year. This includes all busses, trams and regional trains but does not include long distance travel, meaning you cannot use ICEs, ICs or Flixbus/Flixtrain with this ticket.

You can not buy the ticket monthly but have to get a whole year abonnement. 

The ticket can be purchased at the Deutsche Bahn Info stand at Heidelberg Central Station.

Step 3

Travel from Frankfurt Airport to Heidelberg

  • by train: www.bahn.de to Heidelberg Main Station.
  • by shuttle service to Heidelberg downtown Frankfurt Airport Shuttles. Seats should be booked in advance. Be prepared to pay the fare in cash.
  • by FLIX-BUS: www.flixbus.com to Heidelberg Main Station. Must be booked in advance.

Once you arrive in Heidelberg, take the tramway Nr. 5 towards Mannheim and stop at “SRH Campus”. You can also take the bus Nr. 34/35 and stop at “Wieblingen-Bonhoefferstrasse”.

City Registration at Citizen Office

Everyone living in Germany is required to register at the city they live in. If you live on campus, you will need to go to the “Bürgeramt Wieblingen”, located in Mannheimer Str. 259. If you live outside of campus, you will have to go to the local office of the district you live in. Be aware that the offices are not open every day. You will usually need to book an appointment online. For Heidelberg, please find the list of local offices and their opening hours here. The International Office will give your more information about this process during the Orientation Session at the beginning of the semester.

Please bring the following documents to your appointment:

  • Passport & Visa
  • Rental contract
  • City Registration form
  • “Wohnungsgeberbestätigung” (only if you live off campus - this will come from your landlord)

Once the registration is done, you will receive a confirmation document - in German “Meldebestätigung”. With this document you can for example open a German bank account or apply for your visa extension.

Step 7

Opening a Bank Account

Opening a bank account in Germany is quite easy and does not require a lot of time. Many banks offer student bank accounts for free. We recommend you go in person to an office in order to show your original documents and to sign the contract.

Remember that you first need to do your city registration in order to open a bank account.
